Discovery & Configuration

Implementation starts with a kickoff call where we learn how your organization operates. Which terminology do you use? How are your teams structured? What workflows do you need? This conversation shapes how we configure your instance - so the platform feels familiar from day one, not like something your team has to adapt to.

After the kickoff, we handle configuration: setting up your branding, configuring roles and permissions, creating workflow templates, and preparing the system for your data. You'll review and approve, but we do the work.

Data Migration

Getting your data into Firm App is the most technically complex part of implementation - which is exactly why we handle it for you. You provide an export from your current system (usually a spreadsheet), and our team maps it to Firm App's data structure, cleans up formatting issues, handles duplicates, and imports everything.

You'll review the imported data in a staging environment before anything goes live. This is your chance to spot any issues, verify owner information looks correct, and confirm we've captured everything accurately.

Knowledge Base Setup

For AI to answer owner questions accurately, it needs to know about your communities. This doesn't mean uploading thousands of documents - you can start with your top 20 most-asked questions and expand from there. The AI learns and improves continuously, so perfection isn't required at launch.

If you have existing FAQ content on your website, we can import it automatically. We can also help you identify the questions that come up most often based on patterns we've seen across similar organizations.

Team Training

Your team needs to feel confident before launch. We offer multiple training formats: live sessions with our team, self-paced documentation, video tutorials, and a practice environment where staff can experiment without affecting real data. Most teams are comfortable after 1-2 hours of training.

Training focuses on daily workflows first - answering tickets, looking up owner information, processing forms - before covering advanced features. The goal is for your team to be productive immediately, not overwhelmed with everything the platform can do.

Launch doesn't have to be a big-bang event. Most customers start with a soft launch - enabling the portal for a subset of owners or routing just one communication channel through Firm App. This lets you identify any issues in a controlled way before full rollout.

When you're ready, we help coordinate the full launch: sending owner invitations, updating your phone routing, and ensuring everything is connected. Our support team is on standby during the launch period to address any issues immediately.

What if our data is messy?

That's normal. We've imported data from legacy systems that were decades old and never cleaned. Our team handles formatting issues, duplicates, and inconsistencies - you just provide the export.

Do we need to involve IT?

Usually not. Firm App is fully cloud-based and requires no installation. If you need SSO integration or custom API work, IT involvement is minimal.

Can we run parallel with our current system?

Yes. Many customers operate both systems simultaneously during transition, gradually moving workflows to Firm App before retiring the old system.

What if we're not ready in the expected timeline?

We move at your pace. Some customers launch in 2 weeks, others take a few months. The timeline is a guideline, not a deadline.

What support do we get after launch?

Can we customize after we go live?
